Over the years, many of our clients have expressed interest in leveraging Deltek T&E to capture labor and travel costs for subcontractors. We are pleased to share with you that Deltek has recently added this functionality to Costpoint 7.1.1 and T&E 10. Deploying this process will not only save many hours of data entry by a company’s AP staff, but it can also positively impact cash flow as billing of subcontractor hours can be performed in a more timely manner. We would like to take the opportunity to provide a couple highlights of this enhancement.
Upon establishing a Subcontract Purchase Order, vendor employees are added to Work Assignments in the AP module. This is where vendor employees are linked to the specific PO line, PLCs (where applicable) are linked as well as the rate paid to the vendor for the vendor employee’s work performed on a project. When utilizing the Work Assignments screen, there is no longer a requirement to setup Manage Vendor Employee Workforce as we’ve now, in essence, authorized the vendor employee to work on the project. Deltek has also provided screens to capture the vendor employee’s skills, training and security information to include US citizenship and security clearances. We can think of these two master data screens as a version of Vendor Employee Workforce and Employee Master combined, allowing many of the vendor employee attributes to be housed in Costpoint instead of externally.
On the T&E side, vendor employees can be provided rights to enter timesheets and/or expense reports. As with employees, there is a seamless integration of the vendor employee data to T&E. Once the vendor employee timesheet and/or expense report has been signed and approved, a process is run which creates a subcontractor voucher in Costpoint which can then be approved by a company representative for posting. As with employee timesheets, once the voucher has been posted it is then available to include on a customer bill.
There are obviously many more details which encompass the process, but we see this as a game-changer and the answer to many of our client’s needs without resorting to customization.
